Outlook Plugin
The Outlook Plugin is a simple tool that allows you to log your emails with candidates into their contact records in Salesforce. This will allow you to keep all phone calls, visits, and emails in one place within the contact record (Activity History.) Reports can be run on the emails that you send and receive from candidates using this function. This tool requires set up by your CRM Developer, so please submit an Atlas ticket for installation and training.
If you already have the Outlook Plugin, remember: you must enter first name, last name, email address, account name and anticipated major for the contact record to be complete!
Events Management
You can run your prospective student events through Salesforce so that all registrations and records of attendance are captured in one place. Benefits of this:
- When a prospect registers, they are automatically sent a custom confirmation email
- After the event, you can log students as attended. For very large events, you can use a QR code to check students in
- Measure results by pulling a report to view attendees throughout the year
- No duplicate registrations!
- Capture registrants as prospects to use for later marketing
- Send a thank you to your registrants as an email campaign after the event
To run your events through Salesforce, set up a meeting with the CRM Developer so we can assess your needs and provide training.
Email Marketing Campaigns
An email marketing campaign is a scheduled email sent to a group of recipients, usually for marketing purposes. For example, you may want to invite your prospects to an event, or notify your admitted students about an upcoming webinar.
The CRM Developer will work with you throughout this process and send your campaign after consulting with you to determine your needs. This process usually takes about a week, so plan accordingly.
For marketing campaigns that are going to be more than 500 people, we are required to collaborate with the university communications team. They require two weeks’ notice for these large sends, so please submit your request to the CRM developer at least two weeks in advance.
Communication Plan, Drip Campaigns, and Journeys
A communication plan (you may also hear them referred to as “drip campaigns” or “journeys”) is already in place for the undergraduate and graduate programs. Potential students receive anywhere from 1 – 20 messages from the university, program director, or dean’s office over the course of their journey. For example, a prospect who has filled out the Request for Information form may receive up to 7 different emails over the course of 5 months.
Once a person’s status changes (they go from applicant to admit, for example) they are removed from the old journey and put into the next applicable journey.
