Reports
Now that you have all of this prospect data, what do you do with it? A good place to start is a report. Salesforce has a dynamic reporting feature that allows us to draw on the information you collect.
Sample reports:
- How many people are submitting the Request for Information or Ask a Question forms for my program?
- What students have applied, and of those, which are admitted or matriculated?
- Who has registered for my upcoming event (you must be using the Events module for this.)
- Who are the prospects in my pipeline for the current academic year?
There are so many different pieces of information we can pull reports on. Your CRM Developer is here to help you with that, so please submit a ticket so we can work together to get you the data you need.
Did you know?
You already have a few basic reports built for your program, and you’re welcome to access them anytime you need.
- Select Recruitment Manager from the dropdown in the top right.
- Select the Reports object.
- Select your folder from the section on the left. (
Note: only the CRM Developer can see folders for all programs. You should only have access to folders with your program
code; if you can see other folders, please email
jsomcrm@utdallas.edu.) - Search for or select the report you wish to see.
Currently, your available reports are your prospects who have submitted applications; prospects who have filled out the Request for Information form; and prospects who have submitted a question through the Ask a Question form.

Dashboards
Dashboards are a visual representation of specific reports on your Salesforce Home screen.
Sample dashboards:
- A gauge showing progress on number of applications submitted or students matriculated for a particular semester
- A donut graph showing how many international versus domestic students have applied
- A pie chart showing number of applicants by country
Submit a ticket or set up a meeting with the CRM Developer to determine what sort of Dashboard may be best for your department.
