The Jindal School Marketing Department’s main mission is to tell the Jindal School story. In successfully marketing a project, program, event and more, there may be a need for additional marketing materials such as photography, audiotaping, and videotaping. Below are following ways in which the External Relations Marketing Department can help you with additional media needs:
Photography, Audiotaping, Videotaping
Talent Release
First and foremost, it is important to note that any photo, audiotape, videotape or film of an individual or group, including:
- students
- faculty
- staff
- corporate and community supporters and visitors
that you:
- use in program collateral
- add to event materials
- submit for UT Dallas News Center, Inside Jindal, MANAGEMENT magazine, Aspire or other media stories, or
- post to your webpages
Must be backed up with a signed and witnessed Talent Release. The Talent Release form resides on the UT Dallas website at: https://jindal.utdallas.edu/files/talent-telease-03-05-21.pdf
For anyone younger than 18, a parent or guardian must also sign the release, and a witness must sign as well.
Generally, the Talent Release rules apply to anyone whose image or voice is recognizable in a film, photo or videotape, or on an audio file.
YOU ALWAYS NEED A SIGNED TALENT RELEASE FOR EACH EVENT OR PROGRAM SPEAKER, PANELIST OR OTHER PLANNED PARTICIPANT.
Exceptions
- If you hold an event and include a clause in your online or other preregistration material that says registering constitutes consent, you do not need a signed Talent Release from audience members.
The “Consent by Registration” wording you can add to your online registration is:
By registering for this event, you authorize The University of Texas at Dallas to record your participation and appearance on audiotape, film, photography, videotape or other media at this event and use it for educational or promotional purposes without further notice or remuneration.
The Jindal School Web Services team has saved this wording and can slot it into your online registration form.
However!
If you allow last-minute walk-in participants, you must secure a release from them when they arrive.
No Talent Release on Hand? Take a Photo with a Smartphone!
Have your subject/s sign and date a legible handwritten sign granting UT Dallas and the Jindal School permission to take photos or video — or capture audio — and use them without restrictions.
Take a photo of the person/people holding the sign and save it with your other registration materials.
2. If you hold an event and post the Talent Release as a sign at your welcome table or registration table, you do not need a signed Talent Release. The posted release must be set in large type and prominently displayed. Take a picture of this display for your own personal records.
In Summary:
- Do Your Due Diligence
- Make and post more than one copy of the sign.
- Post signs prominently in plain sight.
- Display the sign on an auditorium screen in advance of an event.
- And have a plan for people who do not want to be photographed, audiotaped, videotaped or filmed. Tell your photographer. Seat them out of camera range. Ask them to step out of camera range and to report to you if they believe their photo has been taken. Write down a detailed description of them — what they look like, what they are wearing. On the plus side: Very few people say, “I don’t want my picture taken.”
3. At a major public event advertised well in advance, you do not need a signed Talent Release from audience members.
Gloria Steinem’s 2010 appearance on campus was an example of this.
However! You still are required to secure a Talent Release from each speaker, panelist or other planned participant in your event.

You can always find a copy of the release on the Forms webpage. It is in alphabetical order under Other Forms.
JSOM’s external affairs staff can customize chart forms of the Talent Release, but please allow at least two weeks for design and delivery.

It is your responsibility to hand out the unsigned Talent Release forms and then collect the signed forms. You can keep them on file or send them to Jimmie Markham, Jindal School communications director, for electronic filing.
Photography
Existing Photos
The External Relations staff have an archive of Jindal School photos. Contact the current Marketing Manager or Social Media Specialist if you need photos. Be prepared to discuss:
- The kind of photos you need.
- The number of photos you need.
- How you plan to use them — in an ad, brochure, course material, webpage — and to what end — break up copy, add visual interest, identify key personnel, illustrate a point.
- The size and format — print copy, EPS, GIF, JPEG, PNG, TIF — you need.
Tandem Vault
UTD Main Campus maintains an archive of UTD photos that you can access by using your UTD login. Find photos that include alumni, building, campus, classroom, corporate, event, faculty, organization, speaker, student and other photos.

New Photos
On a case-by-case basis, our Social Media Specialist will take photos of programs and events. If you need new photos, be prepared to discuss:
- The kind of photos you need — key action, people, places, settings.
- The number of photos you need.
- How you plan to use them.
- When and where they can be taken.
- The amount of time a photographer’s services will be required.
- Deadlines — when you will need finished photos.
- Costs and who will pay them.
If the Social Media Specialist finds that your event may need more photography coverage than our office can find, they may refer you to an outside vendor.
Audiotaping
JSOM hosts several podcasts including the Business of Healthcare Podcast and the Between Business & Life Podcast.

Logos
The UT Dallas Office of Communications has established detailed standards about the creation and use of UT Dallas logos, wordmarks, trademarks and other elements of University branding.
The Office of Communications “strongly discourages” logos for individual units within UT Dallas. Only the Office of Communications can approve such logos and permit their use.
Review UT Dallas logos and find downloads on the Brand Standards Logos & Visual Identity webpage.
Find the Naveen Jindal School of Management logo and download it from the UT Dallas School, Center & Unit Lockups webpage.
A wordmark is the distinctive treatment and look of text associated with a company or brand name. The word “The” in The University of Texas is considered an integral part of the UT Dallas wordmark. It should always be included as part of the name and the opening T should always be capitalized. Check the UTD Monogram & Emblem and Logo and Wordmark section of the Web Guidelines for more information and correct use.
The rules and regulations can be complicated. If you have questions, don’t hesitate to call the external affairs staff, particularly Meghan Minshall, Jindal School marketing director, and Linda Rolison, graphic designer.
You can add logos of companies that support your center, organization, program or other endeavor to:
- program collateral
- event material
- webpages,
but the use must be authorized by the written consent of the company’s media relations manager, public relations manager or other executive.

Endorsements
Endorsements from UT Dallas students, faculty and staff can be added to your webpages without formalized consents or permissions beyond a signed Talent Release.
It is always a good act of common courtesy to inform those who endorse you or your programs how and where you plan to use those endorsements — whether in ads, brochures or other collateral.
Use of endorsements from alumni, community and corporate supporters and others without direct ongoing ties to the Jindal School must be authorized by their written consent.
Another Few Words on Endorsements
If an “endorser” is a prominent person or a company, the external affairs and development staff will want to know about their endorsement.
- Similarly, if an “insider” — likely an alumnus — has wonderful things to say, we will want to know about that, too.
- If the endorser’s words seem vaguely familiar, check them out. Google a phrase or two or use Turnitin or another document-checker to check the material. Many people either do not know or do not care that you should not appropriate others’ words without properly crediting them.
- As a courtesy, notify third parties when endorsements reflect favorably on them. In the testimonial shown on this page, Siemens is a case in point.
